APEX Reports User Manual


Introduction

The purpose of this manual is to provide a high level overview of how to access and run the newly developed Oracle Application Express (APEX) reports in the Payment Management System (PMS).

A few of the current PMS reports have been rewritten using the APEX tools to provide more robust capabilities, such as being able to upload the results of a report to Excel so that the data can be manipulated further to meet specific needs. In some cases, minor adjustments have been made to the newly rewritten reports to lend itself to more of a spreadsheet layout; however, the overall functionality, data parameters and data results of the reports have remained unchanged.

There will be a transition period during which the current reports and the newly rewritten reports will be available in the PMS. Users can continue to use both types of reports depending on their needs.

The following reports will be part of the initial pilot rollout:

1. How to Access and Run the PMS APEX ReportsTop

After logging into PMS, using the left side menu, expand the "Expanded Inquiries" menu node, then select the subheading "Account Inquiry".

As shown in the diagram above, the new link to the APEX report displays on the right hand side of the page. Click on the new link “SHL Reports” - A separate window opens

Select the report to see the report parameters

Enter the required parameter, then select “Run Inquiry”. The data results will display in the bottom section of the screen (see sample in the screenshot below).

2. View Subaccount Table ReportTop

Using the menu nodes on the left hand side, select “Registration”; next, select “Subaccount And Pattern” then select “View Subaccount Table” to navigate to the above screen. As shown in the diagram above the new link to the APEX report displays on the right hand side of the page. Click on the new link “View Subaccount Table Report” - A separate window opens.

Select the report to see the report parameters. Enter the required parameters. Select “Run Inquiry”.

The data results will display in the bottom section of the screen.

3. PAYMENTS (PAY-EE)Top

Using the menu nodes on the left hand side, select “Inquiry”; then select “Expanded Inquiries”; then select “Payment Inquiry” to navigate to the above screen. As shown in the diagram above the new link to the APEX report displays on the right hand side of the page. Select the new link “Payment Reports” - A separate window opens.

Enter the required parameters. Select “Run Inquiry”. The data results will display in the bottom section of the screen.


4. ACCOUNT (FIN-E)Top

Select the “FIN-E- Account Financial Data Summary - Extended” report to see the report parameters.

Enter the required parameters. Select “Run Inquiry”. The data results will display in the bottom section of the screen.


5. SUBACCOUNT (SA-EE)Top

Enter the required parameters. Select “Run Inquiry”. The data results will display in the bottom section of the screen.


6. TRANSACTIONS AuthorizationsTop

7. TRANSACTIONS ChargingTop

Enter the required parameters. Select “Run Inquiry”. The data results will display in the bottom section of the screen.


8. TRANSACTIONS DisbursementsTop

Enter the required parameters. Select “Run Inquiry”. The data results will display in the bottom section of the screen.


9. Charges by Appropriation ReportTop

The report is displayed under the new node “Online Reports” which is available under the “Reports” node. This node will only be visible to awarding agencies users.

The awarding agency user can search by different criteria like Document Number, EIN Number associated to their agencies only. A user can perform partial searches by using an asterisk (*). The “Charge From Date:” and “Charge To Date:” are required fields.

Note: Awarding Agency input criteria is required to run the report if the date duration is over 31 days.

Enter the search criteria as required and click on “Run Report” button to generate the report. The output of the report is displayed on the same screen.

The user has the options to download the output in a CSV or HTML format.


10. Grant Summary ReportTop

The report is displayed under the new node “Online Reports” which is available under “Reports” node. This node will be visible to only awarding agencies users.

The awarding agency user can search by different criteria like Payee Account Number, Document Number associated to their agencies only. A user can perform partial search by using an asterisk (*).

Note: At least one input criteria is required to run the report.

Enter the search criteria as required and click on “Run Report” button to generate the report. The output of the report is displayed on the same screen.

11. Export to ExcelTop

Select Actions, and then select Download.

Select CSV


12. Clear ButtonTop

Will clear the data results from the lower section of the screen and any selected parameters
